Inventory Specialist

The Inventory Specialist oversees all control tasks and supervises all inventory activities to ensure the completion of any daily tasks necessary for the operation of the dispensary. Responsibilities include interacting with customers and suppliers to fulfill inventory demand, intake deliveries and process invoices through our POS system, monitor inventory flow and record retention, generate inventory and sell through reports, follow and implement BCC regulations, rectify miscalculations, perform cycle counts and replenish low stock inventory on the sales floor.

Duties and Responsibilities

Responsibilities include, but are not limited to:

  • Answering phone during operating hours.
  • Taking orders over the phone and preparing orders for customer pick-up and delivery.
  • Ensure proper care and First In, First Out rotation of all inventory for retail and delivery outlets.
  • Ensure all products are kept in their ideal state to preserve freshness and quality.
  • Coordinate with procurement team and Inventory Manager to ensure proper turnover of inventory to expedite the sale of expiring products.
  • Work with Inventory Manager to conduct monthly inventory audits and report any loss runs to the General Manager and Business Director.
  • Handle returns, and exchanges with procurement and shipping teams.
  • Advise on upcoming “best by” dates for incoming inventory so items can be put on sale or exchanged with vendors prior to expiration.
  • Coordinate with managers for the destruction of expiring products.
  • Work closely with the compliance team.
  • Work with other company locations to troubleshoot issues with inventory audits and receiving as needed.
  • Ensure new products are ready for sale as soon as possible.
  • Meet with the management team regularly to ensure proper follow-up on all action items.
  • Manage and track all levels of inventory of the outlet(s) including cannabis, merchandise, shop supplies, promotional materials, and all other non-cannabis items.
  • Always ensure proper ambiance and cleanliness of inventory and secure storage areas.
  • Participate in the quarterly venue cleanings.
  • Abide by all policies and procedures of the company.
  • Walk the venue on a regular basis to ensure the facility is properly maintained and address and report any issues promptly.
  • Intimately understand state and local cannabis regulations to maintain compliance of the venue.
  • Inform employees of new products and assist in the making of the displays for new products.
  • Account for all non-cannabis items.
  • Create/update logs for efficient systems within inventory.
  • Enter data for quantities of parts issued and transferred between locations, inventory and cycle count adjustments, into computer database
  • Maintain compliance in accordance with the Department of Cannabis Control (DCC)
  • Receive and issue finished goods into a computer database
  • Troubleshoot quantity discrepancies with manufacturing and inspection personnel
  • Record and monitor all items with shelf-life daily and notify appropriate personnel when material has expired or is damaged
  • Efficiently label and tag incoming products
  • Prepare daily reports for cycle count and COGS
  • Prepare and participate in physical inventory cycle counts
  • Facilitate on inventory management and inform management on low items, misplaced items, or defective items
  • Review and audit incoming tagged Packages physically and in the METRC Portal
  • Manage and review all incoming METRC orders, ensuring complete accuracy with the manifests and invoices
  • Perform other duties as assigned
  • Maintain compliance in accordance with the Department of Cannabis Control
  • Receive and issue products into our POS system
  • Troubleshoot quantity and quality discrepancies
  • Record and monitor all products with shelf-life daily and notify vendors when product has expired or is damaged
  • Efficiently label and tag incoming products
  • Prepare reports for daily inventory on hand, sell through and product performance
  • Prepare and participate in physical inventory cycle counts
  • Facilitate inventory management procedures and inform management on low, misplaced, or defective product
  • Conduct training; assigns tasks and monitors work performance and recommends disciplinary action to management
  • Manage and review all incoming transfers on METRC, ensure complete accuracy with the manifests and invoices
  • Create return transfers within the METRC portal for defective/product exchange
  • Conduct/lead inventory audits to maintain inventory accuracy
  • Perform other duties as assigned

Preferred Qualifications

  • Inventory management experience in a high-volume environment, with knowledge of cannabis and cannabis products; or one year of inventory management in a high-volume cannabis retailer (REQUIRED).
  • Leaf Logics system experience METRC experience (REQUIRED).
  • Must be able to input and access data in ERP system, METRC, delivery systems, and use technology devices (REQUIRED).
  • Must be comfortable learning new skills.
  • Must have a hands-on, proactive management style.
  • Must be familiar with local and state cannabis laws, as well as BCC regulations.
  • Must be highly adaptable and comfortable with an environment that can change rapidly.

Education

Must have one of the following:

  • High School diploma or GED (REQUIRED)

Physical Demands/Requirements

The following are constant demands for this position:

  • Must be able to stand/walk for up to 6 hours at a time
  • Must be able to lift at least 50 pounds safely and properly, as required
  • Ability to work in a stressful, fast-paced environment
  • Must be able to work days, nights, holidays and weekends
  • Medium work that includes moving objects up to 50 pounds
  • Comfortable climbing ladders
  • Continually able to reach overhead, bend, squat, kneel, and carry product, necessary for customer service, inventory restock, and store merchandising
  • Ability to regularly perform store maintenance items: sweep, mop, vacuum, empty trash, maintain all areas of business including back stockroom, employee lunchroom, restrooms.
